Manage Transactions for each reservation

View, cancel and refund any transactions made by your customers.

When making a reservation, a guest might need to make a payment in the form of a prepayment or a deposit to secure that reservation. With Oddle Reserve, restaurants can now manage all transactions that have been captured by a reservation easily. In this article, we’re going to explore how restaurants can use Oddle Reserve to manage any reservation related transactions.


How to search and view transactions?

🔔 Do note that the Refundabilty column name has been replaced with Action column. Only the name has been changed while functionally, it remains the same.

  • Search transactions

    1. In the Oddle Reserve Host V3 app, navigate to Transactions. There will be an existing list of transactions

    2. Filter your search by the customer’s name, email or email, reservation status, reservation date range and ticket type

    3. The list view has columns that show the following information

    4. Clear filters by clicking on Clear Filter

    5. To change the number of reservations you can see on a page, scroll down and select the Rows per page

    6. Click the arrows at the bottom to move from one page to another

  • View transaction details

    1. In the Oddle Reserve Host V3 app, navigate to Transactions. Click on the View icon

    2. Here, you will be able to see the transaction, reservation and customer details

    3. The transaction details show the payment status, the amount paid, payment via, transaction id, date & time the payment was made, refund window and action to refund the customer


How to refund your customer?

When a customer cancels within the refund window, their reservation will be cancelled and the system will automatically refund the customer. The payment status will be set as a System Refund and there is no need to do anything in this scenario.

However, in some cases, you might want to manually refund your customers. To do so,

  1. In the Oddle Reserve Host V3 app, navigate to Transactions

  2. Search for the particular transaction

  3. Click the refund button found in the refundability column

  4. Here, you can indicate the refund reason and select to send a customised refund message to the customer

  5. Do read through the warning message and confirm that everything is accurate as you are unable to undo this action

  6. Click on the Cancel and Refund button to confirm. The payment status will now be changed to Manual Refund

  7. Cancellation email and sms will be sent to the customer

  8. Click on that specific transaction. Here, you will see the internal refund reason

⭐ Do note that you can refund any transaction with a “Paid” status even if is within or outside of the refund window


How to export your transaction data?

  1. In the Oddle Reserve Host V3 app, navigate to Transactions. There will be an existing list of transaction

  2. Filter out the transactions that you want and configure the rows per page to show all the transactions that you want to download

  3. Click on Export data and CSV file will be downloaded

⭐ Do note that the number of rows you see in the Host app on a particular page will be the number of rows that will be downloaded
