Setting up reservations and walk-ins

View, add, edit and delete all your online and manual reservations in one place.

Managing and viewing your reservations is crucial to any restaurant’s day to day operation. With Oddle Reserve, you will be able to view, add, edit and delete all your online and manual reservations seamlessly.

In this article, we’re going to explore how restaurants can use the Oddle Reserve to address these needs.

How to manage reservations and walk-ins?

  • Add a reservation and walk-in (manually)

    1. In the Oddle Reserve Host V3 app, navigate to Home > + Add

    2. Decide on whether you are trying to create a Reservation or a Walk-In and select the right tab for it accordingly in the Reservation Details

    3. (Only for Reservations) Select the ticket, date and time of the reservation

    4. Select the dining duration, no. of adults or children and table number

      ⭐ If you don’t want to choose a table number, it will be auto-assigned based on table priorities. If this is your first time creating and prioritising tables, take a look at this article to 📘 learn how to create tables

    5. (Mandatory for reservations) If it is an existing customer, either key in their name, mobile number or email. If it is a new customer, add their details under + Add New Customer

    6. (Optional) Specify the occasion, any customer special request or staff notes

    7. Click on Add Reservation/Walk In and a confirmation message will pop up. A successful message will be displayed if your reservation/ walk-in has been saved

  • Edit a reservation and walk-in

    1. Select the intended date of the reservation or walk-in

    2. Click on the reservation/walk-in > Edit Reservation/Walk-in

    3. Different reservation and ticket types have different editable fields. If this is your first time looking at tickets, take a look at this article to 📘learn how to create tickets

      • For a reservation with a paid ticket, you can modify all the reservation details except for the ticket type, number of adults and number of children.

      • For a reservation with a ticket without payments, you can modify all the reservation details.

      • For walk-ins, you cannot modify any of the reservation details.

    4. Click on Save Changes and a confirmation message will pop up. A successful message will be displayed if your reservation/ walk-in has been saved

  • Delete a reservation

    In Oddle Reserve, you are not able to delete any existing reservations. However, you will be able to change the reservation status to Cancelled. If you want to find out more about reservations status, take a look at the next section below. This will send a cancellation notification to the customer via email and SMS. Do note that once you cancel a reservation, you will not be able to undo the change or make any further edits.

  • Reservation status

    Each reservation in Oddle Reserve has a status. These statuses can be easily changed by either clicking on the button found in the details column or editing a reservation or by using quick actions.

    Here is a summary of what each status is and what you can change it to.

⭐ If the “Booked” or “Confirmed” reservation status is not changed during the start of the reservation time, Oddle Reserve will automatically change the status to “Late”. Once past the grace period of the reservation, Oddle Reserve will automatically change the status from “Late” to “No Show”.

If the “Seated” or “Bill Requested” reservation status is not changed after the dinning interval, Oddle Reserve will automatically change the status to “Overstayed”. On 3am the next day, all “Overstayed” reservations will be marked as “Completed”.

  • Quick Actions

    If you haven’t noticed, each reservation/walk-in has a set of icons under the Quick Actions column. These quick actions allow you to easily change the reservation statuses with just one click. Here is a summary of what the actions do and when to use them.

How to view reservations and take notes?

  • Home page View

    The Oddle Reserve home page gives you a comprehensive list of all the reservations for a particular date. Navigate to the Home page and select the date.

    Here, you can select a specific date to get a list of reservations on that date. These reservations can also be grouped by their reservation status whether the guests are upcoming, seated, completed or absent. Each reservation line displays basic information such as the customer details, no of pax, table number and many more.

    Additionally, you can perform Quick Actions on these reservations and the home page also displays the total number of reservations and cover for that day. If this is your first reading about Quick Actions, take a look at this section to 📘 what are Quick Actions.

  • Calendar View

    If you want to see a more holistic view of the total number of reservation bookings and total covers for each day in a given month, you will need to access the calendar view. Navigate to the Home page and click on the current date button. The calendar view will pop up.

    Here, you can click on a specific date to find the type of online services (special, no service or normal) that are being run that day. You can also configure the schedule by clicking on “Go to Schedule settings”. If this is your first time viewing schedules, take a look at this article to 📘 learn how to create schedules.

    Furthermore, the icons in the calendar view indicate that:

  • Services

    You can find the type of online services running on a given date. Navigate to the Home page and click on the service icon.

    Here, you can view your weekly schedule, service hours, tickets, seating time and areas in operation. You can also configure the schedule by clicking on “Go to Schedule settings”.

    Alternatively, you can also edit a service by clicking on the pencil icon in the column named modify. This would allow you to:

    1. Modify that recurring online service (editing the weekly schedule)

    2. Override existing schedule with a special schedule (adding a special schedule)

    3. Block out that schedule

  • Notes

    If you ever need to write a reservation note for a specific date, click on the Notes icon on the home page.

    By default, these notes are linked to the selected date. For example, you have selected 1st Jan and created a note. The contents of that note will only appear if you selected 1st Jan. If you selected 2nd Jan, the contents of the note that you just created will not appear. Furthermore, you will be able to edit the contents of an existing note, limited to 120 characters.


Are the manual reservations linked to the online schedules?

When creating a manual reservation, you might wonder if it is linked to any online weekly or special schedules that you have already set up. The answer is No!

Manual reservations are not bound by any online schedules in place. Now, you can create a manual reservations, link it to any active ticket type and online or offline schedule.
